We are looking for a Project Assistant to join our team
Are you a motivated individual with a professional interest in communication, project implementation and with excellent people and language skills? We’re on the lookout for a Project Assistant to join our dynamic team and dive into the exciting realm of European projects! If you’ve got at least 3 years of experience in communication and / or project based activities, along with a passion for organization, logical thinking, and a knack for using management and communication tools such as Google Suite and Zoom, then we want to hear from you!
The initiatives you’ll be working on are related to:
- Community building
- Business internationalization and development
- Digital services and skills
Duration: Project-based working contract/s, with a trial period of 2 months
Working hours: 09:00-17:00, Monday-Friday, with 1 remote day/week after the trial period. Our office is currently located close to the city center, on Calea Dorobanților St.
Language Requirements:
- Advanced proficiency in Romanian (speaking, writing, listening, and text understanding) is essential – you’ll be put to the test!
- Excellent command of English (C1 level or higher) – we’ll test that too.
Responsibilities:
- Assist in coordinating and implementing European project activities, ensuring we meet our objectives and timelines.
- Support project managers by organizing meetings, preparing agendas, and documenting minutes.
- Act as a bridge between project partners and stakeholders to foster seamless communication and collaboration.
- Keep tabs on project progress and report on key performance indicators.
- Pitch in with the preparation of project documentation, reports, and presentations.
- Handle logistics for project events, workshops, and conferences.
- Create and disseminate communication materials for partners (including visuals and copy).
- Maintain project files, databases, and documentation in tiptop shape.
- Provide administrative support to our project teams whenever needed.
Alongside responsibilities related to project based activities, you will be in involved in a series of transversal tasks related to supporting the Cluj IT Cluster community: preparation of the monthly newsletters, support in the organization of our seasonal events and the annual flagship event Cluj Innovation Days, keeping a close contact with the members of the organization, and occasionally posting on the organization’s social media channels/ website.
Requirements:
- Bachelor’s degree in Communication/Business Administration/Project Management/ European Projects/, or a related field.
- Minimum of 3 years of experience in communication/marketing or project based activities, preferably in an international or European setting.
- Proficiency in using management tools such as Google Suite (Docs, Sheets, Drive) and /or Teams, and collaborative communication tools (Zoom, Gmeet).
- Knowledge of Mailchimp and Canva, or another graphic design tool.
- Basic understanding of WordPress.
- Strong organizational and time management skills are a must.
- Stellar communication and interpersonal abilities.
- Ability to juggle multiple tasks and prioritize effectively in a fast-paced environment.
- Keen attention to detail and accuracy when managing documents and reporting.
- A proactive problem-solving attitude, and the ability to work both independently and as part of a team.
- Availability to travel once or twice a year for international project meetings.

Gathering an unprecedented coalition of nearly 100 industry leaders, the European DIGITAL SME Alliance has issued an open letter to the European Commission, calling for decisive action on the #EuroStack initiative to ensure Europe’s technological sovereignty.
The initiative is highly supported by Cluj IT Cluster, with CEO Andrei Kelemen sharing that:
